Privacy Policy

This policy explains how James Long Coaching (“we”, “us”) handles your personal data when you use the James Long Coaching coaching app and website. The data controller is James Long, trading as James Long Coaching. For any privacy question, contact james@jameslong.coach.
Information we collect
- Account details — your name and email address.
- Coaching information you provide — your check-in answers, goals, and any personal details you or your coach add to your profile (for example phone number, date of birth, address, home gym, training preferences).
- Coaching content created for you — your plan, roadmap, milestones and the feedback your coach sends on check-ins (including links to feedback videos).
- Apple Health data (app only, if you grant permission) — steps, sleep, heart data, workouts and body weight. This is read from Apple Health on your device to display alongside your plan. We do not upload or store it on our servers. If we later add an option to share it with your coach, we will ask for your consent first and update this policy. We never use Apple Health data for advertising or marketing.
- Basic technical data — standard server logs (such as IP address and request times) needed to run and secure the service.
How we use it
We use your data solely to deliver your coaching, communicate with you about it, and operate and secure the service. We do not sell your data, and we do not use it for advertising.
Embedded video
Some coach feedback includes a video hosted on Loom, YouTube, Vimeo or Zoom. When you play it, the video loads from that provider, which may set cookies or collect data under its own privacy policy.
Where your data is stored
Your data is held with our infrastructure providers (database, hosting and email delivery) under contract. Access is limited to you and your coach.
Retention and deletion
You can delete your account at any time — in the app, go to Settings → Delete account, or email us at james@jameslong.coach. When you delete your account:
- your login is disabled immediately;
- for 14 days the deletion can be reversed if you contact us — this is a safeguard against mistakes;
- after 14 days your personal data (name, contact details, free-text answers and notes, profile information) is erased;
- records we are legally required to keep, such as invoices and payment records, are retained with identifying details removed.
We otherwise keep your data for as long as you have an active coaching relationship with us.
Your rights
Under UK data protection law you have the right to access, correct, delete, or receive a copy of your personal data, and to object to or restrict certain processing. To exercise any of these, email james@jameslong.coach. You also have the right to complain to the UK Information Commissioner’s Office (ico.org.uk).
Changes
If we change this policy we will update the date above and, for material changes, notify you.
